What You Can Expect
This is an exciting opportunity for a highly organized, detail-oriented, and proactive professional to support executive recruiting efforts. You’ll be the operational backbone of the executive hiring process, ensuring a white-glove experience for candidates and internal stakeholders alike. You’ll also gain exposure to global recruiting practices and have the opportunity to grow within the broader HR or TA function. While the primary focus of this role is on executive-level interview coordination, the position may also include scheduling support for other senior-level roles across the organization, as needed.

Key Responsibilities
• Coordinate and manage complex, high-touch interview scheduling for executive-level candidates (and other senior level positions, as needed)—, including travel arrangements, accommodations, and onsite logistics.
• Serve as the primary point of contact for executive candidates, ensuring a confidential, professional, and seamless experience throughout the interview process.
• Partner closely with executive recruiters, hiring executives, and their Executive Assistants to align on interview strategy, timing, and candidate experience.
• Liaise with external executive search firms, ensuring timely communication and alignment on candidate logistics.
• Host executive candidates onsite, providing a polished and welcoming experience that reflects brand and culture.
• Maintain data accuracy and integrity in the Applicant Tracking System (ATS) and ensure compliance with internal processes and documentation standards.
• Identify and implement process improvements to enhance the efficiency and effectiveness of executive recruiting operations.

What We’re Looking For
• Bachelor’s degree or equivalent work experience.
• 7–10 years of experience in a recruiting coordination or executive assistant role, with a strong preference for experience supporting executive-level hiring.
• Proven ability to manage high-volume, high-stakes scheduling with multiple stakeholders and shifting priorities.
• Exceptional organizational skills, attention to detail, and a proactive mindset.
• Strong interpersonal and communication skills, with the ability to interact confidently with senior leaders and external partners.
• Discretion and professionalism in handling confidential information.
• A collaborative spirit and a passion for delivering an outstanding candidate experience.
• Familiarity with ATS platforms (e.g., Workday) and calendar management tools (e.g., Outlook).
